The No Access Group: Revoke Entry Without Deleting the Record

Jul 16, 2024  |  Support Resource, TrueCloud Connect

The No Access group is the pause button for a resident’s entry. Moving someone into it revokes every credential they hold while keeping their record, their history, and their contact details intact, so reactivating them later is one change rather than a rebuild.

Why this beats deleting: nothing is lost

Deleting a resident erases the record and every credential with it, and it cannot be undone. The No Access group does the one thing you usually actually want: it stops the person getting in, right now, while keeping everything about them on file. Their gate code, card, and app login stop working, but the record, the history, and the contact details stay.

Reach for it whenever the situation might change: a lease under review, a resident in arrears, a dispute, an employee on leave. If the answer turns out to be permanent, you can always delete later. Deletion is the door that only swings one way.

1) Move a resident into No Access

In the TrueCloud Connect platform, click Groups in the main menu, then open the No Access group. Add the resident to it. The moment you save, every credential they hold stops opening the gate. Their record does not move or change otherwise.

Restore access later

When the situation resolves, move the resident out of No Access and back into their normal group, and their existing credentials work again. Because nothing was deleted, there is no re-adding, no new code, no fresh welcome notification. That is the whole advantage: reactivating is one group change, where undoing a deletion means rebuilding the resident from a blank Add User screen.

The three tools in order of severity: a restriction limits when and where someone can enter, the No Access group revokes everything while keeping the record, and deleting erases the record and the credentials with it. Reach for the mildest one that solves the problem.
