Importing Users into a Call Group: Add a Whole Property From One Spreadsheet

Adding residents one at a time is fine for a handful. For a whole property, importing a spreadsheet is the difference between an afternoon and a morning. The portal validates the file, hands back any errors, and lets you re-import the corrected version.

1) Start the import

Inside the TrueCloud Connect platform:

  1. Sign in and click Manage Call Groups in the main menu.
  2. Click Import Voice/Video Call Group to begin, matching the call type the property uses.

2) Choose the file and import

  1. Click Choose File next to the Import File section and select the spreadsheet of resident data.
  2. Click Start Import and confirm with OK.

The spreadsheet has to match the expected format. If your property was set up through onboarding, use the import template you were given rather than building a file from scratch, since a mismatched column is the usual cause of a failed row.

3) Review errors, then re-import

The import checks the file and flags rows it could not accept. Correct the flagged rows in the spreadsheet, then run the import again with the corrected file. It is normal to go around once or twice on a large property; the point of the error report is to tell you exactly which rows to fix rather than making you hunt.

Once the import succeeds

With the residents in the call group, the next step is usually to let them know: send out notifications prompting each resident to download the CellGate app and set a password. Multifamily, HOA, and commercial properties can reach Gold Key Service for help preparing an import file or clearing a stubborn error.
