Find the group
In the TrueCloud Connect platform, click Groups in the main menu, then select the Account Admin group from the list. This is where administrator access is granted and removed.
1) Add an administrator: and pick the right role
Click Add User to bring someone into the group, enter their details, and assign the admin role that fits what they actually need to do. The role is the decision that matters here; adding the person is the easy part. Click Save to apply.
2) The admin roles: grant the least that does the job
Not every administrator needs full control. The roles narrow what a person can reach: Account Admin has full access to the account, including billing; reserve it for the account owner and the people who genuinely run the property. Billing Admin has access to billing only. Site Admin has the same access as an Account Admin except they cannot see or edit billing, which makes it the right role for most on-site managers. Read Admin can only view information and cannot edit anything. The principle worth following: assign the least powerful role that lets the person do their job. It is easier to widen access later than to recover from access that was too broad.
- Account Admin has full control, including billing. Reserve it for the account owner and the people who genuinely run the property.
- Site Admin can create and edit residents and do most day-to-day tasks, but cannot see billing. This is the right role for most on-site managers.
- Read Only Admin can view every portal tab except billing but cannot change anything, and has no app access. Good for someone who needs visibility without the ability to alter the system.
The principle worth following: assign the least powerful role that lets the person do their job. It is easier to widen access later than to recover from access that was too broad.
Remove an administrator
Select the administrator in the group list and click Remove, then Save. Do this promptly whenever someone changes role or leaves, because a stale administrator account is exactly the kind of access that should not outlive the person’s need for it. Removing them here does not delete their resident record if they have one; it only takes away administrative control.
