Adding Access Restrictions in TrueCloud Connect: Limit Where, Limit When, Then Save It as a Preset

A restriction answers two questions the rest of the profile does not: which parts of the property this person can open, and at what hours. Name the restriction when you save it and you will never build the same schedule twice.

Finding the Restrictions section

Restrictions belong to a person, not to a gate. They sit inside the profile in the TrueCloud Connect platform, and they apply to the credentials that person holds.

  1. Sign in to the portal with your administrator credentials.
  2. Click Users in the main menu, then Manage Users.
  3. Click the name of the person you are restricting.
  4. Scroll to Restrictions.

1) Where: all properties, or specific locations

Property access is a yes or no question, and yes is the default. Answering No is what opens the door to restricting the person to particular locations rather than the whole account.

This is the control that matters most on a multi-building site or an account holding several properties. A maintenance contractor who needs one building does not need credentials that work at all of them, and the difference is one dropdown.

2) When: days and hours

Click Add Restriction, then pick the days and the window. The example in the video runs Monday through Wednesday, 12:00 PM to 11:59 PM.

That 11:59 is not arbitrary, and it is worth copying. A window has to close before the day rolls over, so a schedule meant to run until the end of the day ends at 11:59 PM rather than 12:00 AM. Entering midnight as the end time is how people accidentally create a window that closes an hour early or a gap between two days.

3) The preset: build the schedule once, apply it many times

When you save, the portal offers to store the restriction under a name. This is the most useful control on the screen and the easiest one to click past.

A named preset can be applied to other people and to groups, which turns a schedule into a property policy instead of a one-off. Give it a name that describes the rule rather than the person: Contractor Hours, Weekday Business, Overnight Blocked. Build the four or five your property actually uses and you stop reconstructing the same grid by hand for every new arrival.

Removing a restriction

  1. Return to the profile and scroll to Restrictions.
  2. Click the trash can icon beside the restriction.
  3. Confirm.

Removing a restriction widens access rather than reducing it, which is the opposite of what the trash can icon suggests. The person keeps their credentials and gets them back at all hours and, if property scope was part of the restriction, at all locations. Check the profile afterward to confirm that is what you intended.

A restriction is also the mildest of three tools. Restricting limits when and where someone can enter. The No Access group revokes everything while keeping the record. Deleting erases the record and the credentials with it. Reach for the mildest one that solves the problem.

If a restriction is not behaving

The usual causes are a window entered as midnight rather than 11:59 PM, or a preset applied to a group that overlaps a restriction on the individual. Multifamily, HOA, and commercial properties can reach Gold Key Service to work out which rule is winning.
